Information we collect

We collect information in three ways: you give it to us, it is collected automatically, or we receive it from third parties.

Information you give us

• Contact details (name, email, phone) when you fill in a form, request a quote, book a call or contact support.
• Business information (agency name, website, project scope and requirements).
• Account data, if you create an account: display name, login email and profile details.
• Payment and billing details (for example payer name and invoice details). Card and bank details are handled by our payment providers and are not stored by us.
• Content you upload or share, such as briefs, files and access details you choose to give us for project delivery.
• Comments you post on our blog (see “Comments” below).

Information collected automatically

• Usage data: pages viewed, links clicked, referring pages and times of visits.
• Device data: IP address, browser type and version, operating system, screen size and cookie identifiers.

Information from third parties

• Analytics and advertising platforms (for example, combined audience insights).

Comments

When visitors leave comments, we collect the data shown in the comment form, plus the IP address and browser user agent to help detect spam.

An anonymised string created from your email address (a hash) may be sent to the Gravatar service to check whether you use it. Gravatar’s privacy policy is available at automattic.com/privacy. Once your comment is approved, your profile picture is visible next to it.

Media

If you upload images to the website, avoid images with embedded location data (EXIF GPS). Visitors to the website can download images and extract that data.

Cookies

Embedded content from other websites

Payments

We accept payments through third-party payment providers and by direct bank transfer. Payment providers process your billing information under their own privacy policies. We do not store full card or bank details on our servers.

Who we share your data with

We only share information with:

• Service providers (hosting, security, analytics, email delivery and payment processing) under contracts that protect your data.
• Project-related vendors, only as needed to deliver the services you asked for, such as specialised tools or integrations.
• Members of our delivery team, under confidentiality and data processing terms, when needed to complete your agency’s project.
• Legal authorities, when required by law or to protect rights, safety or security.
• A successor business, if Trust Rank Marketing is part of a merger, acquisition or asset transfer (with notice where required).

If you request a password reset, your IP address may be included in the reset email.

How long we keep your data

• Comments and their metadata: kept indefinitely, so follow-up comments can be approved automatically.
• Account and profile data: kept while the account is active.
• Project files and messages: kept as long as needed for delivery, support, record-keeping and legal purposes.
• Analytics data: kept according to our analytics provider’s settings, combined where possible.
• Payment and invoice records: kept as required by tax and accounting laws.

We keep only what we need for the purposes described above.

Your rights and choices

Depending on where you live, you may have the right to:

We do not knowingly collect personal information from children under 13, or under the minimum age where you live.

Security

We use reasonable technical and organisational measures to protect your information, including HTTPS, access controls, backups and least-privilege access. No method of transmission or storage is 100% secure, so please share access details with us only through secure channels and remove our access when it is no longer needed.

International transfers

Your information may be processed in countries other than the one you live in. Where required, we use safeguards such as contractual clauses to protect it.

Data in white-label projects

When we deliver white-label work for agencies:

• We process client website data on behalf of the agency, under a services agreement and, where needed, a data processing agreement (DPA).
• We follow the agency’s lawful instructions and confidentiality requirements, and we are happy to sign the agency’s NDA before work starts.
• We only access live systems and logins when needed, and we recommend role-based access that can be removed at any time.

Third-party links

Our site may link to other websites. We are not responsible for their content or privacy practices, so please review their policies before sharing personal information.

Changes to this policy

We may update this Privacy Policy from time to time. The “Last updated” date shows the latest version. We will announce significant changes on this page and, where appropriate, by email.
